Answers to questions from enrollment meetings. . .
Q: How long should I expect to be on the waitlist? A: There are several factors which play into how long you may be on a waitlist; the most critical being assurance that we have enough chaperones. As a general rule, the earlier we are in the enrollment process (i.e. how far away we are from departure), the shorter the wait time. Typically students should expect to be absorbed from a waitlist within 2-3 weeks on average. You'll receive a notification both from Mr. Jenkins and EF tours that you've been absorbed from the waitlist and officially confirmed to travel on tour. In the rare event that you do not get off the waitlist before we reach maximum capacity, you'll also be notified by Mr. Jenkins and EF Tours, and you'll know what options are available as it relates to refunding money paid in.
Q: When does the discount end? A: One week following the Info/Enrollment meeting, @ 10pm MST. There are usually multiple Info/Enrollment meetings, but the discounted amount for each may not be the same (this is determined by EF Tours).
Q: Is their a maximum cap on the group size? A:We have a bit of wiggle room on additional spots, and will likely open additional spots once we confirm additional chaperone support; eventually we'll reach capacity and will need to close the trip to new enrollees.
Q:What is the tour number for enrollment? A: Please email Sr. Jenkins for this information.
Q:How soon do we have to sign up? A: While the enrollment window runs one week from the Info/Enrollment meeting date, and closes at 10pm Mountain, we can only guarantee a certain number of spots on a first come, first served basis. That said, once initial enrollment is met, a waitlist begins, so please enroll by our deadline to secure your spot on the waitlist, along with the price we presented. We will move people up from the waitlist as space becomes available.
Q: Can family meet child on tour at the end of the trip to continue travel together? If so, does the price change seeing that the child will not be returning on the group flight? A: Yes! You may arrange "Special Travel" for your child directly through EF. EF can book separate flights for your student after the group returns home, so you can meet your student at our hotel at the end of our group's tour, then continue on with your own travel. There is a Special Travel Service fee, and, may be a small change-of-gateway and/or weekend supplement fee as well; (those costs will be known to you up front before your submit your Special Travel Request to EF). You can submit your Special Travel Request online through your student's EF account or by calling EF Traveler Support, who can answer any additional questions you have. Traveler Support may be reached M-F, 9-5 MST at 800-665-5364.
Q:Are you able to request specific people to go with? If they don't get a spot, can we back out? A: In general, yes. That being said, each tour is slightly different and specifics around when you can cancel and stipulations surrounding said cancellation will vary.
Q: Can travelers request to room with their friends? A: Yes, we will talk about this at future pre-tour meetings
Q:How do I create a donation page? A: The Tour Donation Page is already created for you, but it is customizable as well! Each student has their own unique link on their EF account under the "Your Donation Page" link on the left side of their online EF account when they log in.
Q:Has Northfield offered this trip in the past, and if so how many students traveled? A: Northfield has offered and executed at least 2 trips similar to this; approximately 20 students on the low end and nearly 40 on the high end.
Q:Are parents allowed to chaperone? A: Chaperone spots are reserved for Northfield teachers and staff. This increases the likelihood that most, if not all student travelers have an established relationship with at least one of our chaperones.
Q:Is it easy to coordinate changing the return flight if we want to meet our kids in Spain after the tour? A: See response above regarding meeting child in Spain at the end of the tour. Q: Can we have a full itinerary to understand the travel time and tour time? A: We must operate on a travel window until dates are officially confirmed; usually 3-5 months from departure. A detailed day-by-day itinerary can be found on our tour enrollment page, which was shared at the end of the meeting. Your student can also pick up a brochure with the itinerary from any of the Travel Team members. Q:What precautions do you take for kids with food allergies? A: EF will help us accommodate any dietary restrictions on tour. We'll collect that info from everyone before we go, then pass it along so that they can make arrangements with all suppliers (hotels, restaurants, etc.) on tour. We expect individual travelers with allergies to be responsible for any medication they need, to have prescription information with them on tour to go along with that medication, and to be able to self-administer any medication they require, should that be necessary on tour. Dietary requests for individuals on our flights will need to be arranged directly with the airlines within 72 hours of departure. Our airlines are usually confirmed within 50-70 days prior to departure.
